Time Logging

Beech user guide for architecture studios.

Planning

Last updated: 25 Oct 2026

Log how many hours you spend on drawings and general tasks. Time data feeds into personal weekly summaries, project hour totals, and manager team views.

Logging time on a task

Open any drawing task or general task detail panel. In the Time logged section, click + Log time. Enter:

  • Date — when the work was done (defaults to today; past dates allowed, future dates not)
  • Hours — decimal hours (e.g. 2.5 = 2 hours 30 minutes). The helper text converts the decimal to hours and minutes so you can verify.
  • Note — optional. What you were doing (e.g. "Revised elevation after client call").

You can log multiple entries for the same task on the same day (e.g. worked in the morning and again in the evening). The total hours for the task are shown at the top of the section. You can edit or delete your own time entries; you cannot edit others'.

My Hours page

Go to your profile menu → My Hours to enter your week. The timesheet is a Salesforce-style grid:

  • Rows are Project (assigned jobs), Pursuit (open pitches), Leave, or Holiday
  • Columns are Mon–Sun hour cells, with day totals and optional OT
  • Save week, then submit when the week is done
  • Optional task timers below the grid are detail only — they do not drive ₹ costing

Use the week navigation arrows to go back or forward. Switch between Week and Month views for the optional task-timer log. On phones, the grid becomes stacked day cards so you are not forced into a tiny eight-column table.

Team Hours (Managers and Admins)

Go to More → Team Hours to see a firm-wide hours overview. The page shows a weekly summary table with each team member as a row and each day as a column. Below it, a project breakdown table shows hours per person per project for the selected week. Click any person's name to open their My Hours view.

People (Managers and Admins)

Go to More → People for studio staffing. Overview shows who is over-allocated, unallocated, or on leave this week. Capacity is the person × week bandwidth board — click a person to adjust project allocations and date ranges. Roster lists everyone with planned % and links back into capacity. Bandwidth stays for planning only; ₹ costing still uses My Hours project rows. Invites, deactivation, and CTC rates stay in Firm settings.

Hours in reports

Time logged appears in both Excel and PDF report exports. Member reports show hours per task in the period. Project portfolio reports show total hours per project. See the Reports section for more detail.

Time logging is only available on Drawing tasks and General tasks. Vendor requests and reviews do not support time logging.

Before you start

  • Confirm you can open the relevant page and that your role has permission to perform the action.
  • Identify the project, drawing, or task context before you start so updates are recorded in the right place.

Workflow checks and quality guardrails

  • Checklist item 1: Follow the Time Logging process in order and save frequently after each meaningful update.

  • Checklist item 2: Write enough context in notes or comments so another teammate can understand the change without asking you.

Common mistakes to avoid

  • Skipping ownership or due-date details, which makes reporting and follow-up unreliable.
  • Updating status without adding context, which creates confusion during reviews and handovers.

Troubleshooting

  1. 1
    Troubleshooting step 1

If an action is unavailable, verify role permission and whether required upstream fields are completed.

  2. 2
    Troubleshooting step 2

If expected results are not visible, check page filters and refresh to confirm synced state.
